What managed IT costs

You should be able to see what this costs before you spend time on a call. Answer a few questions and you'll have a close estimate in about thirty seconds.

The short answer

Most of the businesses we work with have no IT person on their payroll, and they run anywhere from five people to eighty-five. The smallest setup we do is $640 a month. Above that, most land between $100 and $140 per person per month, and that number includes the office network and any servers. Smaller companies sit at the top of the range. Two things move where you sit: how many of your people actually touch a computer, and how much of the work you want my team to help with instead of it being on your plate.

Office networks and servers are billed by location rather than by person, so they sit on top of those numbers. Details further down.

Three months to start, so onboarding has time to settle in. After that it's month to month with thirty days notice. If it ever stops being a good fit, you're free to move on.

You'll see two names on each of these. We use the plain one when we're talking, because "Business Support and Secure" doesn't tell you anything. The smaller name is what shows up on the agreement you sign and on your invoice, so you can always match this page to your bill.

Extra devices are $15 a month each, because we pay a licence for every machine we protect and that gets passed straight through. Backup is priced by the gig. We'll size the rest with you on the call. That number is your monthly. Anything that builds something new is a project, and we quote it before we start.

If we aren't a fit, I'll say so on the call and point you somewhere better. That happens, and it's ok.

Questions people actually ask

Why are there minimums?

Two of them. Five people on the Cloud Pack, and at least two of those on Keep it running or Run it for me.

Five people is when IT support really starts to help. And the two minimum on Keep it running are there because we want the owner and whoever runs the office able to call us any time, without watching the clock, or doing the opposite and trying to fix it first because of cost. Either of the top two plans covers that, so if you'd rather put two people on Run it for me, Keep it running can sit empty. If you run a two or three person shop, call me anyway. Some do take the Cloud Pack when under five people, either because they're growing fast or because they want the security in place before they get there. And if it isn't worth it for you yet, I'll tell you what to set up on your own.

What counts as a person on the Cloud Pack?

Anyone with a company email who signs into Microsoft 365 or Google Workspace. Everybody with an inbox needs one, whether they ever call us or not.

What counts as a person on a support plan?

Person or computer, whichever is fewer. Say eight people share six computers. You pay for six.

What is included, and what costs extra?

Included is anything that keeps what you have working. Fixing problems. Updates. Antivirus. Getting back a file someone deleted. Outlook acting up. A printer that won't print. Wi-Fi trouble in the office.

How much of that's covered depends on the plan. On Starting out you can call about any of it, and if we have to remote in and do the work it's billed at $129 an hour. On Keep it running the remote work is included. On Run it for me the scheduled onsite visits are included as well.

Extra is anything that builds something new. A new hire. A new computer. A new location. New software. If it makes something that wasn't there before, it's a project, and we quote it before we start.

Do you do Google Workspace, or only Microsoft 365?

Both, and the price is the same either way. We set up and support whichever one you run, and the cloud part covers it along with email security, the password manager, and remote support. One line on one bill. If you're moving from one to the other, that's a project and we quote it before we start.

Will we need a more expensive Microsoft license?

Some businesses do. The Cloud Pack is built on the standard license, and that covers most shops fine. Some need Microsoft 365 Business Premium instead. Premium is the one that adds device management, conditional access and the stronger security tools, and it's usually what your cyber insurance is asking about when the renewal form gets specific. It costs more from Microsoft, so the Cloud Pack goes up to match. Google Workspace has a similar step up and it works the same way.

We'll tell you which one you actually need on the call, and we won't move you up just because the option exists.

What about the firewall or the server?

Those get billed by location, not by person. Office network support is $49 to $149 a month per location and a server is $186 a month. One office needs one firewall whether five people work there or fifteen.

Do you support Buildertrend, Procore, QuickBooks, or Knowify?

Yes. We put the software you run jobs on into the agreement by name, so it's covered the same as your email and your computers. Worth asking us about on the phone, it's easier to explain out loud than in writing.

Do you make me sign a long contract?

Three months to start, then month to month with thirty days notice. The three months are there because onboarding takes real work and it's worth doing properly once.

Can you just come fix one thing?

We don't take one-off repairs, but we can point you the right direction. For computer repair we send people to a local PC shop and we're happy to pass along a name.
